Under limited supervision and procedural control, the Business Operations Support Specialist provides advanced organizational and administrative work within the Department of Employment and Economic Development’s (DEED) central office. The primary focus of this position is to support the day-to-day business operations and office management functions. This position involves specialized knowledge of program operations and procedures, and effective application and interpretation of policies related to work functions and processes. This position supports the division’s work and information flow among leadership staff, employees, visitors, vendors and other clients or customers as necessary. This position is responsible for being a central point of communication for the agency and will perform a variety of organizational, operational, and administrative responsibilities for the division, as well as for other program areas within the agency. The work responsibilities are broad in scope and will sometimes include analysis or functions that are complex in nature. This position will work regularly with tasks that are well-defined as well as tasks and projects that require creative problem-solving skills to navigate and resolve in a manner that adheres to division standards.
In addition to defined work responsibilities, this position will be actively engaged in exploring ways to improve work processes, streamline workflows, drive efficiencies, and improve overall communications within the division. Customer service, accuracy, and efficiency will be critical performance metrics within this role.

### **Minimum Qualifications**
**To receive credit for your education and experience, your resume should clearly describe how you meet each minimum and/or preferred qualification listed, including dates of employment.**
One (1) year of experience providing customer service, communicating with customers and staff, and performing advanced organizational and administrative work to support the day-to-day business operations.
Applicants that meet the above minimum qualification will be further evaluated on the following:
Customer service skills to provide prompt, courteous and accurate information to a variety of customers over the phone, in person, and via email utilizing correct spelling and grammar.
Document and records management experience sufficient to maintain electronic or paper files for efficient organization, retrieval or information and compliance with state and federal retention guidelines.
Ability to prioritize and complete tasks; recognize problems and evaluate possible solutions.
Strong communication skills sufficient to professionally convey information clearly and concisely with tact and diplomacy to a variety of stakeholders including staff, vendors, and executive / senior leadership.
Experience using Microsoft Office Suite products (Outlook, Word, Excel, Teams, PowerPoint, SharePoint, etc.) or similar software.
Ability to manage multiple tasks and deadlines simultaneously while maintaining accuracy.
### **Preferred Qualifications**
Bachelor’s degree in business management, financial management, project management, or a related field as determined by the agency.
Experience in Minnesota’s Statewide Integrated Financial Tools (SWIFT), creating purchase requests using the procurement systems; Electronic Inter-Office Request (EIOR), SWIFT, and the Statewide Employment Management System (SEMA4).
Audio-visual equipment experience sufficient to provide troubleshooting support and training for both in-person and virtual events.
Knowledge of DEED’s programs, including programs operated at partner CareerForce locations, with an understanding of State budget and State / Federal funding and providing back-up support related to DEED’s employee benefit programs for parking and Metropass.
Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.
