**Join the** ***Department of Neurology*** **at UW Medicine as a** **Faculty Appointments and Promotions Expert** **for a** ***temporary*** **project position!** This role is crucial in managing and executing all aspects of academic appointments and promotions. In this role, Additionally, you will operate as an expert to prepare offer letters, manage the faculty voting process, and ensure compliance with UW records retention policies. This position requires excellent organizational skills, attention to detail, and the ability to work independently while providing back-up support for faculty appointments. *This project position is expected to last 9 months, from mid- to late- September, 2024 through June 30, 2025.*

Faculty Appointments and Promotions: 90%
– This position will serve as the departmental expert for all academic appointments and promotions, including post-doctoral scholars and fellows. They will independently manage and execute all aspects of developing new regular faculty positions (clinical faculty, research faculty, and other academic titles including acting instructor, and teaching associate), in addition to annually renewed appointments.
– This position is responsible for meeting all time sensitive deadlines for faculty appointments and ensuring a smooth on-boarding process for all new hires.
– Manages all HR transactions in Workday and is the central point of contact for the Dean’s Office for entering appointments, faculty leaves, and terminations; partners with the fiscal team to process CTMs and compensation changes.
– Serves as the department expert for all faculty appointments and advises the Chair, Vice-Chair and the Associate Director on the lifecycle of academic appointments, academic personnel policy, faculty leave, and compliance procedures including, dissemination of information from UW Medicine, Compensation Office, Benefits Office and Academic Human Resources Office.
– Manages the medical staff appointment and reappointment processes for all clinically active faculty requiring hospital privileges at UWMC—Montlake and UWMC—Northwest, Harborview Medical Center, Seattle Children’s Hospital and the Fred Hutch Cancer Center.
– Manages faculty recruitment searches including: managing the Interfolio process, correspondence with candidates, arranging travel and complex itineraries, and is the central point of contact for prospective faculty.
– Writes draft offer letters and send out letters under the Chairman, Vice-Chair and the Associate Director’s direction.
– Manages the J1 and H1B visa processes for faculty candidates; works closely with the School of Medicine and the International Scholar’s Office to execute processes, timelines, and requirements.
– Manages and processes the faculty voting process for the Department for all appointments and promotions.
– Manages all faculty folders and documents per UW records retention and compliance policies.
– Prepares a weekly report to the Department Vice-Chair and Associate Director regarding status of current recruitment efforts, current appointment efforts, visa applications (new and renewals), medical staff appointment applications and visiting faculty appointment efforts, and other projects.
Faculty Affairs and Back-up Support: 10% FTE
– Provides back-up support and coverage for faculty appointments in the Department of Neurological Surgery when needed.

**Minimum Qualifications:**
– Bachelor’s degree in Business, Human Resources, Communications or a related field.
– at least two years of work experience in a similar or related filed.
– Excellent written and verbal communication skills, with experience drafting professional correspondence and offer letters.
– Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and ensure accuracy in all tasks.
– Ability to maintain confidentiality and handle sensitive information with discretion.
– Strong interpersonal skills with the ability to work independently and as part of a team.
– Attention to detail and commitment to maintaining high standards of accuracy and professionalism.
**Desirable Qualifications:**
– Demonstrated expertise in managing HR transactions, particularly using Workday or similar systems.
– Strong understanding of academic personnel policies, faculty lifecycle management, and compliance procedures.
– Familiarity with UW Medicine’s departmental structure, policies, and procedures.
– Proven ability to manage complex visa processes for faculty candidates, including J1 and H1B visas.
